Getting started
What are the two flows, and which one do I want?
Process Files takes a rent roll or operating statement and returns a clean, structured Excel file. Use it when you want the data tidied up and nothing else.
Underwrite does the same extraction, then populates a full institutional model — GP/LP waterfall, debt sizing, refinance, sensitivity and scenario analysis — and gives you the results on screen plus a downloadable Excel model with live formulas.
What does a typical run look like?
Upload a rent roll and a T12. Review the parsed output in the Rent Roll and T12 tabs and correct anything that looks off. Enter your assumptions on the Inputs tab. Run the model. Results appear across the Overview, Cash Flows, Scenarios, Debt, Equity, and Unit Economics tabs.
Extraction takes under a minute for most documents. The model itself takes a few minutes, because it is a real Excel recalculation rather than a reimplementation.
Do I need both a rent roll and a T12?
A rent roll alone gets you unit-level analysis. Adding a T12 unlocks the operating statement comparison, expense detail, and a far more grounded Year-1 proforma. Most users provide both.
Files and formats
Which file types can I upload?
PDF, XLSX, XLS, and CSV.
Which property management system exports do you handle?
The parser has explicit handling for exports from Yardi, RealPage, OneSite, Entrata, AppFolio, ResMan, MRI, and Buildium — including their quirks around section breaks, future residents, notice units, and hidden data tabs.
It is not limited to those. The parser reads the document rather than matching a template, so unusual and hand-built formats generally work. If something fails, send it to us — odd formats are how the parser improves.
Can I fix the data if the parse is wrong?
Yes, and you should look every time. The Rent Roll and T12 tabs are editable review surfaces, not read-only reports. Corrections you make there flow into the model when it runs.
Accuracy
How accurate is the extraction?
Good, and not perfect. Extraction is automated, source documents vary wildly in quality, and some contain errors of their own. That is exactly why the product shows you the parsed rent roll and operating statement for review before the model runs, rather than hiding extraction behind a result.
Treat the review step as part of the workflow, not an optional check. It is what makes everything downstream trustworthy.
How do I know a number on the results page is right?
Download the Excel model. Every formula is live and auditable — you can trace any output back through the model to the cell it came from. Nothing is a black box, and nothing is computed somewhere you cannot inspect.
Is any of this investment advice?
No. Basecase produces financial models, not advice, appraisals, or valuations. Outputs depend entirely on your assumptions and your source documents, and you are responsible for verifying figures independently before acting on them. See section 7 of the Terms.
Plans and billing
What counts as a deal?
A deal is one property: any combination of rent roll and T12 processing plus underwriting runs for that property. Re-running the model on the same deal does not consume another credit.
What do I get on the free tier?
Two deals, for the lifetime of the account, including document processing with Excel download and on-screen underwriting results. Downloading the populated Excel model requires a paid plan. Current tiers are on the pricing page.
What happens if I cancel?
Access continues to the end of the period you have paid for, then the account reverts to the free tier. Your deals and data remain unless you delete them.
Do deleted deals give the credit back?
No. Deleting a deal removes it from your workspace, but a consumed credit is not restored.
Data and privacy
Who can see the documents I upload?
Only you. Every record is scoped to its owner at the database level, and uploaded files are never reachable through a public or shared URL. Details are on the security page.
Do you train AI models on my data?
No. Not us, not our providers. We do retain de-identified property and market data — never resident names — to power benchmarking, which is described in the Privacy Policy.
Can I get my original documents back?
Yes. Original uploads are downloadable from the file’s page for as long as you keep them, up to 12 months. After that the parsed data remains but the original document is removed.
